Increasing the Capacity of a Small Workforce

Employees, just like any other aspect of your business, can be optimised to provide better results. Focusing on your capacity – the number and organisation of staff within your company – can be a great way to improve your output regardless of how many workers you currently have. Even with a small workforce, you can still improve your overall capacity and drive your business to perform better in future.

Step 1: Recruiting

First, you can expand your small workforce with one or two extra staff. This can be a good idea if you want to increase the talent pool at work and bring in fresh ideas for your company. You can either go through the application process on your own (which can be quite time consuming for a small company) or you can hire an HR firm who can do the job for you. These agencies will have a wide network of potential candidates they can use to find the ideal employee for the position available. Of course, finding and hiring the perfect applicant involves a great deal of thought. You will have to go through the following steps so that you end up with new staff members who can actually fit in with your team and provide the results you expect:

• Deciding whether now really is the time to hire new workers
• Writing a job description that is detailed, clear and concise
• Taking time to find a star candidate who fits in with your firm
• Monitoring your new employee’s progress after they are hired

All of these steps will then help you get through the recruitment process without any difficulties. Remember not to rush any of these phases though as this can lead to time and money wasted as you accept a candidate who is really not suitable.

Step 2: Training

Once you’ve taken in as many new employees as you want, you can then further increase the capacity of your workforce by putting them through some rigorous training regimes. This can optimise their performance and help retain their skills. After all, 22% of new employees will leave a newly obtained job after 45 days. With the right training though, you can ensure they are comfortable within your office, conducting their everyday responsibilities in a manner that is stimulating and highly rewarding. Follow this advice when creating a training program for the best results:

• Bring in the experts for some direct employee training
• Provide a general base and specialise on staff strengths
• Take advantage of e-learning programs on the internet
• Incorporate practical experience into workplace training
• Ask employees to lead a training program in their field

These are just a few of the ways in which you can educate your members of staff and boost their overall capacity. After all, they will have picked up new knowledge and skills which they can then use to produce much better results at work.

Step 3: Mentoring

Lastly, you should continue to develop your employees’ abilities in the office through a solid mentoring program. Here, a worker will gain additional advice from someone higher than them. Whether this is a manager, team leader or CEO depends on the structure of your company and the position of the person being educated. To do this effectively, the mentor will have to teach the subordinate in an effective manner that entails several key characteristics. When setting up an in-office mentoring program, make sure that it follows these simple guidelines to produce excellent results:

• Develop a teacher/student relationship filled with trust
• Ensure the mentor is aware of the mentee’s environment
• Be prepared to guide and counsel as well as teach
• Let mentees model their routine around their mentors
• Add in motivation and inspiration for better results

All of these qualities will come together to make a mentoring program that further increases the capacity of your business. Not only will you ensure knowledge and skills are spread within your organisation but you will also build trust between your employees as well.

By following these three steps, you can take a small workforce and improve its overall capacity beyond anything you could have imagined. Recruit, train and mentor in the right manner and see how the end results boost your business potential.
